Service teams

Each service team is comprised of the tour operator's employees and is responsible for processing one or several types of services (for example, one group may be responsible for hotels, while the other processes flights and train reservations). The manager of the service group is appointed, while other
employees act as proxies and process the reservations if the manager is absent or unavailable.

To create a service team,

  1. On the Company profile menu, click Users.

  2. Go to the Service teams tab and click Create. The New service team window appears.

  3. Specify the following information:

    • Name: enter the name of the team;

    • Email: common email for the notifications;

    • Comments: notes on the team;

    • Services: products and offers, for which the team is responsible;

    • Service managers: users that are responsible for the selected services;

    • Substitution teams: an alternative team that can process the selected offers if the main team is unavailable;

    • Sales channels: types of clients for which the service team is responsible.

  4. Click Save. The new service team appears on the list.

Adding service managers

  1. Click Add a manager. The list of company users appears.

  2. Pick one or several users by selecting the check boxes.

  3. Click Add. The selected managers appear on the Service managers list. To delete one or several managers, click the Delete icon ❌ in the corresponding line.

Adding substitute teams

  1. In the Substitutional team section, click Add. The Substitutional service team window appears.

  2. Select one or several teams to be substitute teams for the selected services or clients.

  3. Click Add. The selected team appear on the Substitutional teams list. To delete one or several teams, click the Delete icon in the corresponding line.

Adding Sales channels

  1. In the Sales channel section, click Add. The Sales channel window appears.

  2. Select one of the following sales channels:

    • Agencies;

    • Corporate clients;

    • Tour operators;

    • Direct sales.

  3. Select one or several clients in the table below.

  4. Select the main service manager.

  5. Click Save.

Editing Service Teams

To modify service team information,

  1. On the Company profile menu click Users.

  2. Go to the Service teams tab.

  3. Open the required service team profile and click Edit.

  4. Make necessary corrections and click Save.

Deactivating Service Teams

To temporarily deactivate a service team,

  1. On the Company profile menu click Users.

  2. Go to the Service teams tab.

  3. Open the required service team profile and click Edit.

  4. Clear the Active check box and click Save.

Configuring Service team Notifications

You can configure sending notifications to the e-mail address specified in the service team profile.

For that,

  1. On the Company profile menu click Users.

  2. Go to the Service team tab.

  3. Open the required service team profile and go to the Notification Settings tab.

  4. Click Edit to switch to editing mode.

  5. Select the actions about which you want the service team to be notified about.

  6. Click Save.

Assigning a reservation to a Service Team

To assign a reservation to a particular service team,

  1. On the reservations menu click View reservations.

  2. Open the required reservation.

  3. In the Service group, opposite the Service team label, click (Edit).

  4. The Select service team window appears.

  5. Select the required service team from the drop-down and click Save.

Arbitrary offline bookings

With the Offline Bookings module you can fill in details of any booking that was made by your staff in any system. Just fill in booking details, travellers, net and gross rates and the system will keep it in database easily accessible in future. With the offline bookings, you can;

  • Create offline reservations;

  • Fill in booking details and travelers;

  • Specify prices and fees.

To add an extra service booked offline or in any other system to a reservation,

  1. In the Services group, click Extra service. Add extra service window appears:

  2. In the window, specify the following information:

    • General information: specify the service type and enter its name, set its status (confirmed, confirmation pending, etc.), ref number and supplier, as well as enter the service dates and description.

    • Payment to supplier: specify supplier’s price, and set the cancellation fees. For more information, please see Setting supplier and client price section below.

    • Payment from client: specify client’s price and set the cancellation price for the client. For more information, please see Setting supplier and client price section below.

    • Travelers: choose whether to specify all the travelers in the reservation or a primary traveler only, and select the primary traveler.

  3. Click Save.

Setting Supplier and Client Prices for Extra Services

To set the prices for extra services, in the Extra service window, refer to the following sections:

For the supplier price,

  1. Select the required currency and set the netto price. In case no mark-up is applied for a client, set a commission from supplier. You can set the commission either in per cents from the netto price or in currency units.

  2. Set the cancelation fees, if they are implied: click calculate cancellation fees button, and then click . The additional form appears. Define the cancellation period and the fee.

For the client price,

  1. Set the mark-up for clients, specify whether it is applied for the reservation or for a traveler. The mark-up can be set in per cents from the netto price or in currency units.

  2. Specify the brutto price a client us to pay for the service. Note that when you indicate the brutto price, the mark-up is calculated automatically. In case you practice multi-level sales, specify the commission to client.

  3. Set the cancellation terms: click calculate cancellation fees, and then click (plus). The additional form appears. Specify the cancellation period and the cancellation fees.
