For the typical e-mails it’s necessary to have templates for quick creation of notifications and e-mails based on them.

Create New Template

To create a new notification template,

  1. navigate to General Settings menu → Templates:

Email templates page is displayed →

  1. Select a Recipient type for the emails (Company, Supplier or Tourists Templates) and click Add. New email template page appears, complete the email template with corresponding information. To view detailed information on the list of dynamic placeholders, click on 2024-11-27_15-02-28.png (question) icon next to Save Changes button:

  1. Click Save changes. The created template is saved to database and is available for e-mails from Reservations and mass mails from all parts of the system.

To edit a template, click on 2024-11-27_14-57-42.png icon in Edit column at the corresponding template.

There is a possibility to copy existing template to a new one clicking on Copy link, a copy of existing template will be created.

Use Templates

The templates can be used in the following areas:

  1. Mass mail for clients (menu My company -> Private Clients, or My company -> Corporate Clients, or My company -> Travel agencies etc. - ex. to send Birthday Congratulations):

  1. Mass mail for reservations (e.g. Flight time has been changed - menu Reservations):

  1. Manual e-mail from Reservation (e.g. send again booking confirmation to supplier in case he says that did not receive previous one - see Send e-mail button within Reservation Details - both in summary and for each service):

How to use templates in e-mails:

  • by default e-mail is empty, template is not selected → select a client type (check checkboxes “client”, “supplier”, “traveler”) to indicate an e-mail recipient. If no checkbox is selected, then all e-mail templates from settings are available within Template drop-down. If only some of these checkboxes are selected, then only templates that relate to corresponding client type (ex. “Supplier E-mail Templates” from settings) are available.

  • When a template is selected, Subject and Message fields of the e-mail are automatically filled.

  • Fill in sender’s e-mail and add more recipient(s) if needed.

  • Attach file(s) in Attachments section if needed.

  • Click Send or Preview to verify e-mail displaying before sending it.
