GP Travel Enterprise allows you to set prices for self-operated services in 2 different ways:
You can create a tariff first, and then operating within the settings of the tariff, add price-lists, discounts, commission plans and other regulation a particular service requires.
Alternatively, you can first create price-lists, set discounts, develop commission plans and then form up a tariff grouping the created constituents together.
The creation of a tariff for car hire includes the following steps:
Creating price-lists;
Creating price-lists for Extra Services;
Creating discounts;
Setting penalties;
Setting terms of use;
Setting Tags.
We will have a closer look at each of these steps in the subsequent sub-sections.
Creating a tariff for self-operated car hire
Configuring Car Hire Tariffs
Tariff means combination of conditions for price offers – e.g. you can have:
Standard tariff with regular prices and ability to cancel without fees up to 1 day before the date of car hire;
Promotional tariff valid only for certain period with reduced prices, but non-refundable;
Early booking tariff valid only 60 days in advance;
etc.
To configure a tariff for a self-operated car hire service,
On the Self-operated products menu, click Cars.
In the profile of the required car hire, go to the Prices tab.
On the Prices tab, in the Tariff group, click the tariff name (e.g. Standard) if you want to edit it, or click Create to create a new one. The New tariff page appears:
On the New tariff page, first specify the tariff description:
Name: enter the name of the tariff.
Contract number: specify the number of contract with supplier related to this tariff.
Hide tariff name from client: select the check box in order to hide the name of the tariff from your customers or clear this box if you want the tariff name to be visible for them (e.g. it makes sense for promotional or early booking tariffs).
Description for internal use: enter tariff description. The information entered in the filed is not available for customers and is used for internal aims only.
Description: in the text field enter the tariff description. It will be shown for your customers.
After you have entered the tariff description, start connecting tariff constituents. Click the respective tab to expand the form. After you fill in all the sections, click Save.
Let us consider the constituents to be filled in on the Tariff page.
Price-Lists
Click the Price-lists bar to expand the form. The following form appears:
To connect a price-list you need to:
Specify price-lists for working with your suppliers and clients.
Add corresponding price-lists to the tariff.
Setting price-lists for customers and suppliers
If you are planning to use several price-lists for mutual settlement with suppliers and clients, you need several price-lists with net prices and gross prices for board and residence service.
Several price-lists can be useful, when some of your suppliers apply complicated pricing schemes. In this case the gross price of the seat can’t be set by adding a common mark-up to a net price as usual, but is set separately for different service classes, tourist categories, etc. For better distinction of your price lists and price types we recommend to add "gross" and "net" to their titles correspondingly. You can set the price-lists that are used for working with clients and suppliers in the tariff settings.
If you want to create a new tariff that differs little from existing ones, then in tariff settings you can select the option "Inherit prices from the following tariff" and add only some changes to new tariff.
If you use the same price-lists for both a customer and a supplier, click Use the same price-lists for both customer and supplier.
If you use different price-lists for customers and suppliers, click Use net price-lists for supplier and gross price-lists for customer. Separate forms for net and gross price-lists appear:
If initially you click Use the same price-lists for both customer and supplier, add the price-list to the tariff and click Use net price-lists for supplier and gross price-lists for customer, your price-list is displayed in the Net price-lists group.
Setting Price-lists
To add a price-list,
Сlick Add price-list. The Price-lists window appears:
In case you already have created a price-list, select the required one from the drop-down.
In case you have not created a price-list previously, select Create price-list from the drop-down. After you click Create price-list, the New price-list window appears:
On the General information tab, specify the name of the price-list and specify the days of the week on which it will be valid. If needed, you can create different price-lists for week days and weekends.
Click Save and proceed to the Prices tab.
On the Prices tab, specify the rates for all driver categories:
Click Save.
Price-Lists for Extra Services
After creating an additional service you should create a special price-list for extra services with the up-to-date rates. The general scheme of creating pricelists for additional services is very much alike creating basic price-lists for services. You should fill in the information on 2 tabs:
General information
Price-list for additional services.
To create a price-list for additional services for a self-operated car hire service,
On the Tariff page, click Price-lists for additional services, and then click Add Price-list for extra services. The Price-list for additional services window appears:
In case you have already created a price-list for additional services, select the required one from the drop-down.
In case you have not created a price-list for additional services previously, select Create price list for extra service. The New Price-list for Extra Service window appears:
On the General information tab, specify the price-list name, as well as the period when it is active.
Click Save and proceed to the Price-lists for Extra Services tab.
On the Price-lists for extra services tab, specify the rates for extra services depending on the type of the extra service and the method of price calculation:
Specify the following information:
Availability: select the conditions for service booking. The following items are available:
mandatory: a tourist must book the service, when booking the car.
optional: the service is offered to a tourist while booking the car, but it is not mandatory.
not available: the service is unavailable for booking and is not offered to a tourist.
Include into cancellation charges: specify whether the price for an extra service is included into the penalty charge in case the offer is canceled. If the check box is selected a tourist is charged along with the penalty of the car price.
Include into mark-up and commission: select the check box in case you want a rate for an extra service to be included into the mark-up and commission. In case the option is selected, the markup and commission, that you set in the contract settings, are used for calculation of the final price of the service. For the car reservation fee, markups and commissions are not required.
Price: In the Price column, specify the price of an extra service. You may enter the price both in currency units and in per cents. If you click the per cent button, the extra drop-down appears. From the drop-down, select the price conditions on base of which the rate for an extra service will be calculated
Click Save.
When you create a price-list for extra services, make sure that its validity term coincides with that of the price-list for the main service. If the validity period of the price-list is shorter than that of the main service price-list, the extra services are not offered for the excluded period.
Commission
To set up commission plan,
On the Tariff page, click Commission to expand the form.
Click Add commission. A Commission window appears:
In the Commission window, from the Add drop-down, select the item of your choice. Specifically,
In case you have previously created a separate commission plan, select the required one from the drop-down.
In case you create a tariff first, click Create commission. The New commission window appears:
On the General information tab,
specify the commission name, as well as the period when it is active and the description.
Click Save and proceed to the Price-lists for Commission tab.
On the Price-lists for Commission tab, specify:
Currency for commission calculation is the currency in which the commission is set. By default the base currency of the car is used. But you can change it to any other value.
Commission per service: specify single commission for the whole service.
Commission for extra services: specify the details about amount of comissions for extra services
Click Save.
Discounts
To connect a discount to a tariff,
On the Tariff page, click Discounts to expand the form. The following form appears:
Click Add. The Discounts window appears:
In the Discounts window, from the Add drop-down, select the item of your choice. Specifically,
In case you have previously created a separate discount, select the required one from the drop-down.
In case you create a tariff first, click Create discount. The New discount window appears:
In the New discount window, specify the following information:
Name: enter the name of the discount plan.
Conditions: select the type of the discount. There are two options available:
Free days: for example, the price for 7 days car hire is equal to the 6 days car hire.
Discount for the following day: for example, starting from the 7th day, the discount on each subsequent day is 20%.
One-time discount: the discount is applied only once.
Multiple discount: the reoccurring discount is applied whenever the discount conditions are observed.
Discount: specify the discount rate. Specify the minimal duration of reservation, the starting date of the discount, and the discount rate (in per cents from the service price or in currency units).
Click Save.
You can add any number of discounts to the tariff. Note that In this case the effective periods of different discounts can overlap. For this purpose you need to specify whether all discounts, only one discount or the best discount should be applied:
To make any corrections to a created discount, select the required one from the drop-down and click 🔎 . The Discount window appears where you can make the required corrections.
Penalties
To connect a penalty plan to a tariff,
On the tariff page, click Penalties to expand the form. The following form appears:
Click Add. The Penalties window appears:
From the drop-down, select the item of your choice. Specifically,
In case you have previously created a separate penalty plan on the Prices tab, select the required one from the drop-down.
In case you create a tariff first, click Create. The New penalty window appears:
In the window, specify the following information:
Name: locate mouse pointer into the box and type and type the name of the penalty plan.
Description: in the text field describe the penalty plan.
Cancellation terms: in the group specify the conditions for penalties application and the cancellation charges:
from the drop-down select the number of days before the service start date when the penalties are applied.
select whether to calculate penalties in currency units or in per cent from a certain sum.
in case the penalties are calculated in per cents, specify the price from which they are calculated: total price or a price for a particular number of nights/days.
🗒 To add another penalty rule, click Add button .
Penalties are active during: in the group, specify the tariff for which the penalty plan will be applied and the terms of its application. In case you have not yet set any tariffs, you can leave this group empty and configure penalty application later, on the Tariff settings page.
Click Save.
Terms of Use
To connect the terms of use to a tariff,
On the Tariff page, click Terms of use to expand the form. The following form appears:
Click Add. The Terms of use window appears:
In the Terms of use window, specify the list of conditions under which the tariff is applied. Specifically,
Early booking: the tariff only applies if a customer books a service the specified number of days before the service start date.
The offer is booked within the interval: the tariff applies if a customer books a service any day within the specified interval.
Min and max duration: the tariff applies if the duration of booking complies with the specified duration.
🗒 You can link the tariff to one, several or all specified conditions. In the latter case the tariff is applied only if all the conditions are observed.
Click Save.
Membership level
This option helps to apply corresponding prices during the search under B2C members or non-members access.
Setting Tags
Every new product or tariff has a “public” tag by default. This means that they are available for search and booking for all customers.
However, you can create extra tags. In this case, if a products or a tariff contains at least one extra tag along with the “public” tag, the conditions of the additional tag are applied to them.
For instance, if you add the “private” tag to the product, it is only displayed in search results for the customers that have access to the “private” products according to the contract. This means that the customer contract must contain either the “private” tag, or several tags, including the mentioned above, for example: the "public" and "private" tags. The product is unavailable for customers if the “private” tag is not included in their tag list.
Please remember, that in order to manage product availability through tags you should list them in the customer contract in the same way.
