User roles

The staff of Tour Operator of 1st level and employees of partners (suppliers of direct contracts, travel agencies, corporate clients) are added to the system as users. Their rights are defined by their roles.
The following roles are available in the system:

Role

Description

Rights/permissions

TOUR OPERATOR OF 1ST LEVEL

Director

A user who configures settings, has rights to create bookings, manage reservations and adds self-operated products to the system

  1. Creates users, assigns system access passwords.

  2. Modifies data of users of the own company as well as the users of every company registered in the system.

  3. Creates own agent network (registers partners, grants system access to them by creating users, configures contracts).

  4. Appoints managers, responsible for partner operations. Acts as a manager for partners.

  5. Views information on suppliers.

  6. Creates bookings for travel products and services.

  7. Manages all bookings within the network (changes data, cancels, modifies status manually, print out vouchers).

  8. Changes and cancels bookings with the Synchronization required status (manually).

  9. Sets general system configurations.   Besides Directors, only first-level users of the tour operators have this authority.

  10. Creates tour products within Inventory.

  11. Manages payments and Finance tab.

  12. Initiates generation of reports.

Supervisor

The same as Director

The role has the same rights as Director. The only difference is that Supervisor cannot deactivate Director and can’t see IDs of hotels, room types and hotel tariffs/rate plans.

Manager

Role can be used in case when there is no necessity to give a user the rights to configure settings and add own products

  1. Creates and processes bookings for travel products and services.

  2. Processes bookings created by users with role Agent and by clients (collaborate companies).

  3. Views user information of his own company and the partner companies to which it is as signed as a Manager.

  4. May manage payments on visible bookings only.

  5. Initiates generation of reports.

Sales Manager

Based on role Manager

  1. Creates and processes bookings for travel products and services.

  2. Processes bookings created by the company users and by clients (collaborate companies). Has access to all the bookings of the company.

  3. Read Only access to the list of company users.

  4. Full access to the list of legal and private clients.

  5. Read Only access to the settings of direct sales.

  6. May manage payments on all bookings.

  7. Limited access to Finance tab.

  8. Initiates generation of reports.

Sales Staff

Based on role Manager

  1. Creates and processes bookings for travel products and services.

  2. Processes bookings created by the company users and by clients (collaborate companies). Has access to all the bookings of the company.

  3. Read Only access to the list of legal clients.

  4. Full access to the list of private clients.

  5. Read Only access to the settings of direct sales.

  6. May manage payments on all bookings.

  7. Initiates generation of reports.

Content Manager

Manager of content in the system

Creates, views and edits descriptions of accommodations, self-operated products, manages contracts and views direct suppliers.

Agent

The role is used in case when a user just needs to make search and book and manage only own bookings

  1. Creates and processes bookings for travel products and services.

  2. Has access to own bookings only.

  3. Initiates generation of reports.

Accountant

The role is used in case when a user just needs to view bookings, have access to finance view and settings, views reports

  1. Has access to bookings (view only).

  2. Full-fledged access to Finance tab (except for Online Payment Systems settings).

  3. Initiates generation of reports.

Aviasales manager

A user that manages flights

  1. Creates requests for flights bookings.

  2. Can view all reservations.

  3. Can modify reservations (issue e-tickets, cancel and synchronize bookings).

Driver

An employee of tour operator that can be assigned to a group of tourists for transfer or excursion (in case a module Scheduler is activated for installation)

At the moment it is recommended to use this role only within Scheduler module without a separate access to the system for such user.

Guide

An employee of tour operator that can be assigned to a group of tourists for transfer or excursion (in case a module Scheduler is activated for installation)

Guest

A user for search results view only

Views offers but has no right to create a booking

TRAVEL AGENCY

Director

A user who configures available settings, has rights to create bookings and manage reservations

  1. Creates users for own company, assigns system access passwords.

  2. Modifies data of users of the own company as well as the users of own network (corporate clients and private clients) registered in the system.

  3. Creates own corporate clients (registers partners, grants system access to them by creating users).

  4. Creates bookings for travel products and services.

  5. Manages all bookings within the network (changes data, cancels, modifies status manually, print out vouchers).

  6. May manage payments with Tour Operator of 1st level and own clients.

  7. Limited access to Finance tab in available part.

  8. Initiates generation of reports.

Supervisor

The same as Director

The role has the same rights as Director. The only difference is that Supervisor cannot deactivate Director.

Manager

Role can be used in case when there is no necessity to have access to Finance and main purpose is to manage reservations

  1. Creates and processes bookings for travel products and services.

  2. Processes bookings created by the company users and by clients (collaborate companies). Has access to all the bookings of the company.

  3. Views user information of his own company.

  4. May manage payments on all bookings.

  5. Initiates generation of reports.

Sales Manager

Based on role Manager

  1. Creates and processes bookings for travel products and services.

  2. Processes bookings created by the company users and by clients (collaborate companies). Has access to all the bookings of the company.

  3. Read Only to the list of company users.

  4. Full access to the list of legal and private clients.

  5. May manage payments on all bookings.

  6. Limited access to Finance tab.

  7. Initiates generation of reports.

Sales Staff

SUPPLIER OF DIRECT CONTRACTS (INVENTORY)

Manager

A user who has most extended rights in Extranet, configures settings on own products, has rights to view and manage reservations

  1. Manages own products.

  2. Modifies data of company profile.

  3. Manages company notifications on reservations.

  4. Creates and modifies users of the own company.

  5. Views and manages all reservations on own products (modifies status manually).

Driver

An employee of a supplier that can be assigned to a group of tourists for transfer or excursion (at the moment outside the system only)

Can manage own product like Transfers (if option to create new products and edit existing ones is activated for installation)

 

Guide

An employee of a supplier that can be assigned to a group of tourists for transfer or excursion (at the moment outside the system only)

Can manage own product like Excursions (if option to create new products and edit existing ones is activated for installation)
