The reservation contains all information on the hotel that you have booked.
To view the newly-created reservation,
On the Reservations menu, click View reservations and select the required reservation.
Hotel information: in this field you can see the hotel name and the hotel address.
Check-in: the time when the service is started.
Check-out: the time when the service is finished
Stay duration: the number of nights that the tourist stay at the hotel.
Supplier: the name of a supplier (GDS) of the given hotel.
Room: in this field you can see the room category.
Meal type: in this field you can see the meal type.
Additional services: in this field you can see extra services included in this reservation.
Guests: in this field you can see names and family names of tourists booked on this hotel, their nationality, contact data, email.
Custom fields: in this field you can see reservation comments.
Comments: additional information about this reservation.
Status: the current status of the order.
Price: up-to-date price of the booked hotel for the tourists specified in the order.
Supplier’s price: supplier's price of the hotel.
Client’s price: price at which the service was sold to a travel agency. The figure in brackets shows the amount that the agency is to return to a tour operator.
Penalty: information on penalties provided for each hotel according to the rules of the current tariff.
Editing hotel reservation
You can view the information on the services included in the reservation and manage them. For that refer to the Services screen section on the Reservation tab. Actual picture
In the Services section you can:
Voucher for the service: click (Voucher button) to download the voucher. Get documents window appears. In the window, select whether to save a voucher as a PDF-file or to send it to an e-mail. By default, the voucher will be sent to an e-mail specified on the Passengers/Tourists tab. However, you can enter any other e-mail. Click OK.
For custom vouchers a block with manager and emergency service contact information was added. In case of urgent questions, contacts will always be at hand with a traveler.
Modify the service data: to modify the date of the service rendering or the information on tourists, click Modify. Modification window appears:
In the window, adjust the required data and click Check availability. In case the modification is allowed, the confirmation window appears. Click Book to confirm the modification.
Check service’s status: certain services cannot be booked immediately and require supplier confirmation. In order to view the status of the service, click Check. Check status window appears, where you can view the current service status received from the supplier:
Sent E-mail: You can combine documents for booked orders (for example, vouchers and e-tickets) into single package and send it to the user's e-mail that is specified during the booking process. Click Sent E-mail and the Send e-mail window appears:
You need to chose e-mail template and system will automatically generate e-mail text. Then, please, choose the recipient. Change e-mail subject if necessary.
Book the service again: in case you need to add the same service to another reservation or re-book the service if the confirmation has failed, click Book again. The following window appears:
In the window the information is imported from the current service. Change the data if needed then select to which reservation the service is to be connected, and click Check availability. In case the same service is available, you will be redirected to the booking form (to the Offers tab). Follow the procedure as it is described in Search&Book to book the new service.
Appoint service teams and a manager for the service (to see more go to + Extended management of reservations): to ascribe the service to a certain service team and to appoint a service manager, click (Pen symbol) opposite the Service team/manager label, select the required team/manager from the drop-down, and click Save. (See Group 6 in the figure below)
Cancel: select this option if you want to cancel the reservation. Note that the reservation has cancellation rules.
Please note that when modifying the service, the price can change. Read the message in the Modifications window carefully to avoid any inaccuracies.
Confirmation number for hotels
When booking hotels from suppliers with which you have direct contracts, the suppliers may send you the Hotel confirmation number, that should be saved to the order. To change the Hotel confirmation number,
Open the reservation and click on Hotel Confirmation # field.
The Enter Hotel Confirmation # window will appear. Enter hotel confirmation number and press Save.
Issuing or getting Invoices
To issue or get an invoice on the service, refer to the invoice window:

Click the respective button. Operations window appears:
In the window, select the services for which the invoice is issued/received, and click Continue. The Invoices and payments window appears with a link to the invoice.
Click the link to view the invoice. The invoice opens in a separate window, where you can view and download it:
Adding services to reservations
You can book more services using GP Travel Enterprise and add them directly to the current reservation.
To add a service to the reservation,
In the Services group, point to Add Service:
The pop-up list of service appears. Click the required service. You will be redirected to the search form. Follow the steps as it is described in Search&Book to finish the booking process.
Adding/deleting early check-in/ late check-out to reservations using manual modification
According to business processes of working with bookings sometimes there is a need to add to the existing reservation or remove from it early check-in and/or late check-out services for hotels added to the system by direct contracts in Inventory.
When adding extra services on early check-in/late check-out to an existing reservation it is important to correct total Netto price on hotel as well to include these extra charges to total price.
To add early check-in/ late check-out to the reservation,
Click To manual correction. In the Manual correction window click Yes.
Point to Repair button.
Find extra service field in the pop-up. Press on the to add services.
After adding necessary extra services click OK.
Changing of room and meal types in reservations of selfoperated products using manual modification
If room and meal types were set incorrectly when booking selfoperated hotel there is an opportunity to change those options using manual correction.
Click To manual correction. In the Manual correction window click Yes.
Point to Repair button.
Find Please specify hotel meal and room types field.
Change necessary information.
Click OK.
