Agencies – are the companies who re-sell your travel products to endconsumers.
The main concept about them is that they can only sell using sales prices that you configure for them in advance, and usually they get commission that is being configured within the contact with them.
You can either accept requests from your agencies via phone and then create reservations on behalf of them. Or, alternatively (and more often), you can give access to the system for agencies themselves so that they can search&book and communicate with you via the system.
The full procedure of registering a new Agency includes the following steps:
Creating a new agency company profile.
Uploading company documents.
Adding users of the company.
Configuring contract terms.
Adjusting the look and feel of the system (if necessary).
Creating New Agency
To register a new Agency please, do the following:
On the Navigation menu point to Clients and click Agencies/Distributors.
On the Agencies/Distributors tab, click Create. The Create New Client page appears.
On the Create new client page, fill in the information about the client company as it is described in +Configuring Information about the Company.
š The fields to be filled mandatory are marked with the asterisk (*)Click Save.
Managing Agency Users
When an agency profile is registered, the users of the agency should be created and granted access to the system – i.e. the users of the agency should receive the user names and the passwords for their profiles.
To grant access to the users, first create a user with the Director or Supervisor role. Users with these roles can do all the further configurations in their company profiles, including creating and managing other users' profiles.
To create a user with administrative rights,
On the Navigation bar, point to Clients, and click Agencies/Distributors. Alternatively, in case you continue the process of creating a client company profile, go to the Users tab.
Click the name of the client company for which you would like to configure the user, and click Users.
On the Users tab, click Create. The Create New User page appears:
On the Create New User page, fill in the information about the user. Among others, please pay attention to the following fields:
Role: from the Role drop-down, select the Director or Supervisor role to give the user maximum permissions. For more information on user roles, see + User roles .
Log in: the unique name that is used for logging in. The same log in cannot be assigned to different users within one company. At the same time you can create users with the same log in name in case they are registered in different companies.
Password: the password should contain at least three symbols (digits and Latin letters, both upper and lowercase) without spaces.
Click Save.
Setting Contracts with Agencies
For managing contracts with agencies there are two alternatives:
You can group several agencies and configure the same contract conditions for the whole group.
You can specify an individual contract for a particular agency.
In case you want to configure an individual contract that regulates the relationship between your company and an agency,
On the Navigation menu, point to Clients, click Agencies/Distributors and then click the client company for which you need to configure the contract terms.
Click the Contract tab, and then click Edit to switch to the editing mode.
Configure the terms of contract as described below in further subsections.
Click Save.
According to specific settings of your installation version, you can define the currency that is used for settlements with the client company: the supplier's currency or the contract one. Depending on this parameter chosen, the prices might be shown in the specified currency on the search and book forms, and on the Reservations page.
Assigning Managers
An employee of your company can be appointed as a Manager. The Manager supervises a client travel agency/distributor or direct sales and manages their reservations. Any user with the Director, or the Supervisor, or the Manager role can act as a manager.
ā¹ Assigning a Manager is an obligatory condition for regular operations. You cannot create a reservation in the system if a manager for a particular travel agency/sales channel is not defined.
ā¹ If you change a manager in the contract settings, all the previously created reservations are automatically assigned to a new manager.
When changing your managers in the contract settings, you should specify the reservations they will be accountable for: new and existing reservations or new reservations only. In the list of reservations this manager will be specified as a manager in charge of the selected orders.
Customizing Agency Profile
Customizing Agency Profile
On the Settings tab, you can personalize the look of the system so that it complies with the brand and identity of a client agency. You can also configure the localization preferences, links with external applications, and notifications. feel of an agency,
On the Navigation menu, point to Clients, and click Agencies/Distributors.
Click the client company you would like to configure. The Client page appears.
Click Settings and then click Edit.
On the Settings tab, specify the information, according to the principles, described in the +Specifying Company Profile Settings .
Click Save.
Browsing Agencies
After you have created the profiles for partner agencies, you can:
search for agencies by the set of available search parameters;
view the list of client agencies;
edit client company data;
manage system access of the client agencies.
You can search for agencies by a company code, type, name, location, period of registration, group and manager name using the search form at the top of the Clients page:
To search for a client agency,
On the Navigation bar, point to Clients, and click Agencies.
Select the items of your choice from the drop-down lists. You can search by one search parameter, combining several of them or by all the search parameters. In the latter case however make sure, you fill in the search form with correct data, otherwise the search results may be few or none.
Click Search. If you get zero results, it means that there are no client agencies/distributors matching your search criteria.
To view the list of agencies of your company,
on the Navigation bar, point to Clients, and click Agencies. The Clients page appears.
On the Clients page, the table features general information about every agency including a company code, type, location, contact details, registration date and current status.
By default the entries in the list are arranged by alphabetical reservation. Besides, you can sort the entries in one of the following ways:
by the names of the agencies in reverse reservation (Z-A);
by the type of the agencies, arranging the tour operators and travel agencies in groups;
by registration date;
by status (active/inactive).
To sort the list by a certain criterion, click the header of corresponding column.
Deactivating Agencies
To restrict the access to the system for a particular agency/distributor,
Open the profile of a required agency.
Click Edit.
Clear the Active check box.
Click Save.
Agency profiles are not deleted permanently from the system. All inactive profiles are stored in the archive. You can view the list of the archived agencies by clicking Archive on top of the clients list and activate them if needed.
