Every employee who will work with the system must be registered as a unique user. User profiles are created to ensure proper system functioning and to differentiate access rights to the information stored in the system. For example, users with Director and Supervisor roles have unlimited rights in the system,
while the rights of a user with Agent role may be restricted to just booking services.

You can create the unlimited number of system users. Every employee in your company is then given a unique user name and a password that will be used for logging in the system. Every employee is also assigned with a role that will determine user’s rights in the system.

User roles

Upon creating a user profile, every user is assigned with a role. The role specifies the rights of a user and controls access to particular information in the system.
The following table describes the roles and rights of the users:

Accountant

  • Has access to the reservations within the company’s network.

  • Can issue invoices on reservations.

  • Manages auto cancellation (an accountant can select or clear
    auto cancellation check box in the reservations).

  • Has access to the invoices and can set the terms and
    conditions for their issuing.

  • Has access to financial ledgers.

Agent

  • Creates and processes reservations for travel products and
    services.

  • Has access only to their own reservations.

Avia sales
manager

  • Creates requests for flights reservations.

  • Can view all reservations.

  • Can modify reservations (issue e-tickets, cancel and
    synchronize reservations).

Content
manager

Creates, views and edits descriptions of hotels, direct
contracted suppliers and own products.

Director

  • Creates users, assigns system access passwords. Modifies data
    of the users of the company and client companies registered
    in the system.

  • Creates agent network (registers partners, client companies,
    grants system access to them by creating users, configures
    contracts).

  • Appoints managers, responsible for partner operations. Acts as
    a manager for partners.

  • Browses information on suppliers.

  • Creates reservations for travel products and services.

  • Manages all reservations within the network (changes data,
    cancels, modifies status manually, print out vouchers).

  • Changes and cancels reservations with the Approval required
    status (manually).

  • Sets general system configurations. Besides users with Director
    role, only first-level users of the tour operators have this
    authority.

  • Creates tour products.

  • Initiates the generation of reports.

Driver

  • Can search for services, but cannot book them.

  • Can generate reports.

Guest

Can search offers but has no right to create a reservation. This
role is recommended for demo purpose just to give access for
your potential agents/distributors to see your products and
prices.

  • Can search for services, but cannot book them.

  • Can generate reports.

Manager

  • Creates and processes reservations for travel products and
    services.

  • Processes reservations, created by the company agents and by
    clients (client companies), who are assigned to this Manager

  • Browses user information of their own company and client
    companies to which it is assigned as a Manager.

Supervisor

Has the same rights as a Director. The only difference is that a
Supervisor cannot deactivate a director.

The main User roles settings:

Creating New User Profile

  1. On the Navigation menu, point to Company profile, and click Users. The Users page appears.

  2. Click Create. The Create New User page appears:

  3. Fill in the required information. The fields that are to be filled mandatory are marked with the * symbol.
    Among others, please pay attention to the following boxes:

    • Role: the role determines the rights of a user in the system. For more information, please read section User Roles.

  • Log in, password: please pay attention that for logging in the system a user needs to enter a company code (alias), a user name and a password.

A company code (alias) is a unique code assigned to every company automatically to access the system.

An alias is specified manually upon creating a company profile. (See Chapter 2, Section 2.1.1). For your convenience both the company code and alias are displayed within the user profile page to the right below the Active check box.

Once created, the Login name cannot be changed.

4. Click Save.

Depending on a tariff, certain limitations can be applied to the number of created users. If you have already reached the limit, you cannot add a new user. After clicking Create, you will see the respective message about this.

Uploading User Avatar

If you wish, you can customize user profiles with their avatars. To upload a user avatar,

  1. On the Navigation menu, point to Company profile, and click Users.

  2. Open the required user profile and click Edit at the bottom of the page to switch to editing mode.

  3. To upload avatar from your PC,

  • In the Upload file form, click Add.

  • Browse to the picture you want to upload.

  • Click Upload.

4. To upload an avatar from an external web-source,

  • Click Upload via link to expand the form.

  • Locate mouse pointer into the bar and enter the web-link.

  • Click Upload.

5. Click Save.

Uploading User Documents

You can upload and save different types of documents relating to a user profile, e.g. passport, photos, signatures, visas, etc. It helps you to store the information in the system and have the immediate access to the documents at any time.
To upload a new document,

  1. On the Navigation menu, point to Company profile and click Users.

  2. Select the user for whom you need to upload a document, and the click Documents.

  3. On the Documents tab, click Upload. The Upload New Document window appears:

  4. Specify the following information:

    • Document type. Specify the type of the document being uploaded: signature of file, birth certificate, medical certificate, passport, photo, questionnaire, etc.

    • Validity period. Specify the starting and ending dates of validity of the document being uploaded.

5. To upload a file from your PC,

  • In the Upload file group, click Add.

  • Browse to the document you want to upload.

  • Click Open.

  • Click Upload. The file appears in the list of uploaded documents.

6. To upload a file from the external web-source,

  • Click Upload via link to expand the form.

  • Click Add. The URL bar appears.

  • Enter the location of the file on the Internet into the URL bar.

  • Click Upload. The file appears in the list of uploaded documents.

7. Click Save.

Browsing Users

After you have set up the profiles of the employees, you can view the list of created users organized in a list:

On the Users tab, you can:

  • Browse the users of your network.

  • Add new users.

  • Change user details and roles.

  • Activate or inactivate users.

  • Download the list of users to your computer.

  • To download the list of created users to your computer as an Excel-file, on the Users page, click XLC.

    The list of users will be downloaded to your computer in the XLS/XLSX format.

Deactivating Users

To restrict user's access to the system,

  1. Open the profile of a required user.

  2. Click Edit.

  3. Clear the Active check box. You can deactivate any user except for Director.

User profiles are not deleted permanently from the system. All inactive profiles are stored
in the archive. You can view the list of the archived users by clicking Archive on top of the user
list and activate them if needed.
