With GP Travel Enterprise you can not only sell separate travel products (e.g. accommodation, flights, transfers, etc.) but combine them and distribute as travel packages. Depending on the peculiarities of the packaged products, in GP Travel Enterprise we single out Dynamic Packages and Complex Tours.
Dynamic Package stands for the combination of travel services distributed as one product entity. The constituent services are not fixed - you can choose and combine them to meet your specific needs (e.g. replace one component with another).
Complex Tour stands for the packaged travel product usually consisting of several components with fixed itinerary. The constituent services cannot be changed and replaced since the program of a complex tour is predefined.
Let us have a closer look at the process of creating packaged products.

Creating a New Dynamic Package or Complex Tour

The process of creating packaged products includes several steps:

  • Specifying general information about the product;

  • Specifying destinations;

  • Setting itinerary.

Let us dwell on each step and examine the peculiarities you may face.

General Information

To create a new Dynamic Package or Complex Tour,

  1. Go to the Self-operated products menu and click Complex Tours and Packages:

  2. A Complex tours and packages page appears. On the Complex tours and packages page, click Create.

  4. On the New complex tour or dynamic package page, on the Info tab, specify the following information:

    • Name: locate mouse pointer into the Name bar and type the name of a complex tour or dynamic package which will be displayed on search results page.

    • Supplier: from the drop-down, select the service supplier.

    • Product variant: from the drop-down, select the type of the packaged product, either a complex tour or a dynamic package.

    • Short description: locate mouse pointer into the Short description box and enter the service description. This description will be displayed on search results page.

    • Description: locate mouse pointer into the Description box and enter the product description which will be displayed in separate window with tour/package details.

    • Tags: tags are used to configure sales parameters of a certain product to particular client groups. Locate mouse pointer into the Tags box and type an appropriate tag separating it from the previous one with a comma (e.g. type VIP to sell a complex tour or dynamic package for clients interested in special offers.) Please pay attention that in case you use tags to sell products to certain clients, you should add the same tag to the client's contract. For more information, please see Setting Tags.

    • Picture: With the help of the Picture group, you can upload photos or logos to display on search results page.

    • To upload a picture from your PC, use the Upload file form. In the Upload file form click Add, browse to the required picture and click Open. Then click Upload.

    • To upload a picture from an external web-link, use the Upload via link form. Click Upload via link to expand the form, locate mouse pointer into the bar and enter the required address, then click Upload.

  5. Click Save.

  6. Click the Destinations tab to proceed with configuration.

Setting Tags

By using tags you can manage access of certain groups of customers to products and rates. For example, by labeling certain products with the "private" tag you show them only to the customers that are interested in exclusive offers, while the standard offers with the "public" tag are available to all customers. You can create, edit and delete all tags, except for the default "public" tag.
There are certain restrictions to the tag names:

  • A tag name should consist of one or several words written in Latin characters.

  • A tag name can include maximum 500 characters.

  • If you use several tags, they should be separated with a comma.

Every new product or tariff has a “public” tag by default. This means that they are available for search and booking for all customers. However, you can create additional tags. In this case, if a products or a tariff
contains at least one additional tag along with the “public” tag, the conditions of the additional tag are applied to them.
For instance, if you add the “private” tag to the product, it is only displayed in search results for the customers that have access to the “private” products according to the contract. This means that the customer contract must contain either the “private” tag, or several tags, including the mentioned above, for example: the "public" and "private" tags. The product is unavailable for customers if the “private” tag is not included in their tag list.

Info

Please remember, that in order to manage product availability through tags you should list them in the customer contract in the same way.

Destinations

On the Destinations tab, specify the destination(s) of a complex tour or dynamic package:

Click the Destinations tab. The following form appears:

To enter the destination manually, locate mouse pointer into the City box and type the destination. After you type three characters the system displays the list of suggestions containing the defined characters. The entries in the list are arranged by the alphabet. If you see the required destination in the list, click it - the rest of the name will be filled in automatically. In case you do nor see the required entry, type some more characters - it may appear later.

To select the required destination form the drop-down,

  • click Select from the list. The following form appears:

  • from the Country drop-down, select the required country.

  • from the City drop-down, select the required city.

  • In case you want to return to manual entering, click Add manually.

  • In case a complex tour or a dynamic package presupposes visiting more than one destination, repeat Steps 1-5 one more time.

  • To remove a destination from the list, opposite the destination you want to remove, click Delete. The Confirmation dialogue box appears. To confirm the deleting, click Delete.

Itinerary

The final step of creating packaged products consists in specifying package components, i.e. the services included in the package. To add a package component,

  1. On the Itinerary tab, click Create. The New tour component window appears:

  2. In the New tour component, click the appropriate button to choose the service you want to add. Let us consider component configuration of package components.

Accommodation

To add an accommodation service,

  1. Click Hotels. The New hotel component page appears:

  2. On the New hotel component page, specify the entry code. It is filled in automatically by the system, but you can change the entry name manually for your convenience. The entry code is used for managing packaged components and is not displayed to tourists.

  3. Locate mouse pointer into the Name box and type the name of the service (hotel, flight, excursion, etc.) This name is displayed on search results page.

  4. Locate mouse pointer into the Description box and enter the service description. It will be displayed on search results page and in the separate window with package details.

  5. Specify the way to include the component in the package. There are the following alternatives available:

    • Mandatory service: the service cannot be removed from the package.

    • Optional service: the service is additionally offered during the booking

    • Extra service: the service is included in the package but can be removed during booking.

  6. Configure the search criteria for the service:

    • Supplier: define in response to which supplier specified in the search form the component will be displayed. In case you want to offer the component irrespective of the supplier specified in the search form, select All from the drop-down. In case you want to restrict the range of suppliers, in the Filter column, click (More). The Supplier window appears:

    • In the Supplier window, select the suppliers which must be specified in the search form in order to show the component on the search results page and click Close.

    • City: specify which city a tourist should enter in the search form for the component to be displayed on search results. From the drop-down, select the suitable option. In case there are other components within the package, you can connect the city to one of the departure/arrival cities of other components. Alternatively, you can select search form destination location option. Then a package will correspond to the city a tourist enters in the search form. To appoint a definite list of cities, click (More). The City window appears:

    1. In the City window, type the city name in the City box. Alternatively, click Select from the list and select the required city from the drop-down. Click Add and then Close.

      • Start/End service date: specify the starting/finishing date of a package component distribution. In order to connect a start/end date of the services to a date specified in the search form, select search_form.start_date/search_form.end_date. In case there are other components within the package, you can connect the start/end date of the component to other components's start/end date. In order to add or distract a certain number of days from the specified date, from the drop-down select the required option (e.g. +5 days). In order to set specific dates, click (More). The Schedule window appears:

        In the Schedule window, specify the period and the days of the week during
        which the package component will be offered for tourists. Click Add and then
        Close.

        • Number of nights: specify the number of nights for which the accommodation will be rendered. In case you select calculate from the drop-down, the number of nights will be automatically calculated in compliance with the dates specified in the search form. To add or distract a certain number of days from the calculated date, select the required option from the drop-down (e.g. +5). In order to set the fixed number locate mouse pointer into the box in the Filter column, and enter the required number of nights manually.

        • Hotel category: specify in response to which hotel category specified in
          search form the accommodation will be offered.

  7. Specify the pricing method - net price or gross price.

  8. Set tags. By using tags you can manage access of certain groups of customers to products and rates. For example, by labeling certain products with the "private" tag you show them only to the customers that are interested in exclusive offers, while the standard offers with the "public" tag are available
    to all customers.

To create a transfer service,

  1. Click Transfer. The New Transfer Component page appears:

    • Entry code: It is filled in automatically by the system, but you can change the entry name manually for your convenience. The entry code is used for managing packaged components and is not displayed to tourists.

    • Name: enter a transfer component name.

    • Description: enter a transfer description description. the description will be displayed in the window with the details about transfer.

  3. Specify the way to include the component in the package. There are the following alternatives available:

    • Mandatory service: the service cannot be removed from the package.

    • Optional service: the service is additionally offered during the booking

    • Extra service: the service is included in the package but can be removed during booking.

  4. Configure search criteria:

    • Supplier: define in response to which supplier specified in the search form the component will be displayed. In case you want to offer the component irrespective of the supplier specified in the search form, select All from the drop-down. In case you want to restrict the range of suppliers, in the Filter column, click (More). The Supplier window appears:

      In the Supplier window, select the suppliers which must be specified in the search form in order to show the component on the search results page and click Close.

    • Departure date: Specify the departure date of the transfer component. From the drop-down, select the required option. You can connect the departure date of the transfer to the date specified on the search form (search_form.start_date, search_form.end_date) or to other package components (e.g. H1.start_date, H1.end_date, etc.).

    • Departure place: specify the search criteria in response to which the transfer component will be displayed. You can connect the departure date to the date specified in the search form (search_for,.start_date, search_form.end_date) or to other package components (e.g. flight arrival date - F1.arrival_date.).

    • Arrival place: specify transfer arrival place. You can connect transfer arrival place to the place specified in the search form (search_form.destination_location) or to other components (e.g. H1_location - the location of accommodation included in the package.)
      Transfer type: locate mouse pointer into the bar and type the transfer type manually - for example, shared or private.

  5. Select pricing method - net or gross price.

  6. Set tags: By using tags you can manage access of certain groups of customers to products and rates. For example, by labeling certain products with the "private" tag you show them only to the customers that are interested in exclusive offers, while the standard offers with the "public" tag are available
    to all customers.

  • Flight return date: specify the flight return date (if one is supposed.) The return date can be connected to the date specified on the search form or to any date of other package components.

  • From: specify the search criteria in response to which the flight will be displayed. You can connect the departure place to the place specified in the search form (search_form.destination_location) or to other package components.

  • To: specify flight destination point. You can connect transfer arrival place to the place specified in the search form (search_form.destination_location) or to other components (e.g. H1_location - the location of accommodation included in the package.)

Setting search criteria: basic rules

To configure search criteria, for each search option (Search attribute name column) set a specific value (Search criteria column). The value can be expressed by the following means:

  • search_form + attribute;

  • entry_code + attribute;

  • this_entry + attribute;

  • calculate;

  • all.

Search form

In case the first part of the value is search_form, the search criteria of the component will adjust to the search criteria specified in the search form.
Example: You are to configure the flight component, specifically its departure and return dates. You do not want to restrict the flight component distribution by dates. Thus for the flight departure date you should select search_form.start_date, and for the flight return date - search_form.end_date. The dates of the flight component will adjust to those specified by a tourist in the search form.

In case you want to make the flight component more flexible, you can set a period to be added/distracted from the specified on the search form. For that, from the drop-down, select the required value:

Entry code

In case the first part is any entry code (e.g. E1, T1, F2. etc) including also manually entered codes, the search criteria of the component under configuration will depend on the conditions specified for other services of the same package.
Example: In the package there are flight and accommodation components. The check-in date for accommodation is June, 1 - the same date the flight touches down. Thus for the accommodation component, the service start date can be set F1.arrival_date. It means that the check in date will adjust to the flight arrival date specified by a tourist.

This entry
In case the first part of the value is this entry, the criterion you specify is bound to any other criterion of the same component.
Example: In the package, there is an excursion component that starts and ends at the same place. Thus for the arrival place, you can set the value - this_entry.departure_point. It means that the arrival point will coincide with the departure point.

Calculate

The Calculate option is available for numerical values. You can use it in order to calculate the date depending on specified data.
Example: You set check-in and check-out dates for a hotel component. The duration of the package is five days. Thus you can specify the check-in date for the hotel, and for the check-out date, select calculate and add the required value in the drop-down:

All

The All option is available for the limited number of categories and implies that all the possible options are implemented in the package.
Example: if you do not restrict hotel categories for accommodation component, select All opposite the Hotel category attribute:

Any attribute refers to search criteria a tourist should fill in in the search form (e.g. departure date, excursion point, arrival place, etc.) An attribute characterizes the first part of the value.

Search&Book of Dynamic Packages

Search&Book of dynamic packages consists of 3 steps:

  1. Search

  2. Choice of services

  3. Booking

Search
To search for a dynamic package,

  1. On the Home page, click Dynamic Package. The Search form appears:

  2. On the search form, fill in the following basic search criteria:

    • Select Dynamic package: in the group, select the required type of dynamic package (e.g. flight + hotel, hotel + excursion, etc.).

    • Departure place: specify the departure location. You can either enter the location manually or click select from the list and select the required location from the drop-down.

    • Destination place: specify the destination location. You can either enter the location manually or click select from the list and select the required location from the drop-down.

    • Start date: specify the dynamic package start date.

    • End date: specify the dynamic package end date.

    • Tourists: specify the number of adult and child tourists. Please remember that for every child tourist you should additionally specify their age.

  3. On this stage you can either click Search to initiate search process or click Additional search options to specify more search criteria and get more precise results. Additional search options include:

    • Supplier: select the preferred service supplier from the drop-down.

  4. Click Search to initiate search process.

Choice of services

On the Search results page you can view the offers fitting your search criteria. If you are satisfied with the services included in the offer, click Select either opposite the Dynamic package title or at the bottom of the page:

Selecting dynamic package alternatives

In case you are not completely satisfied with the service included in the dynamic package,

  1. Click view other alternatives, the Offers page appears:

  3. The original package offer is replaced with the one you have chosen.

Selecting Extra services

In case the package offers Extra services, they are displayed below the mandatory services under the corresponding title:

To include an Extra service in the offer, select the corresponding check box.

Booking
On the final stage of booking,

  1. Fill the tourist data. Specify the following information:

    • Full name;

    • Date of birth;

    • Nationality;

    • Passport number and expiry date;

    • Contact phone number and e-mail.

  2. Additionally, you can leave a comment for a dynamic package provider. Please note however that leaving a comment may delay processing the reservation.

  3. Select payment method:

  4. Read cancellation terms and conditions and select the respective check box:

  5. Click Book to finish the booking procedure.

  6. After you click book, the Confirmation window appears. Click Complete reservation in order to confirm the reservation.

  7. On the Reservation page, click Voucher to obtain a voucher.

  8. Issue or get an invoice for settlements with suppliers or/and clients. For more information, please see Reservations.

Search&Book of Complex Tours

Search&book of complex tours includes the following steps:

  1. Search

  2. Results

  3. Choice of services

  4. Booking

Search
To search for a complex tour,

  1. On the Home page, click Complex Tours. The Search form appears:

  2. On the search form, fill in the following basic search criteria:

    • Departure: specify the departure location. You can either enter the location manually or click select from the list and select the required location from the drop-down.

    • Destination: specify the destination location. You can either enter the location manually or click select from the list and select the required location from the drop-down.

    • Start date: specify the period when the complex tour is to start.

    • Duration: specify the complex tour duration.

    • Tourists: specify the number of adult and child tourists. Please remember that for every child tourist you should additionally specify their age.

  3. On this stage you can either click Search to initiate search process or click Additional search options to specify more search criteria and get more precise results. Additional search options include:

    • Only available: select the check box to see only offers that can be booked immediately and required no extra confirmation.

    • Show detailed offers: select the check box in order to see the offers with the detailed information about them.

    • Name: if you search for a particular complex tour, enter its name in the Name box.

    • Supplier: select the preferred service supplier from the drop-down.

  4. Click Search to initiate search process.

Results

On the search results page, you can view offers that suit your search criteria:

Select the preferred offer and click Select.

Choice of Services

On this stage select the services to be included into the complex tour. In case you are satisfied with the services included into the tour, just click Select either opposite the complex tour title or at the bottom of the page:

  1. Click view other alternatives opposite the service you want to replace.

Booking

To proceed with booking a complex tour,
