Private Clients – are those who book travel services for their own usage (for themselves or their families or friends), so they are the final consumers of travel product. By using GP Travel Enterprise, you can manage such clients, store their profiles and make reservations for them.
Note that to the contrary to other clients it’s not necessary to create private client profile in advance. You can just fill in travelers details at the moment of booking. On the other hand if you have repetitive clients it’s recommended to fill in their details in advance and link all the reservations to corresponding accounts to have full analytics and history of previous trips of this client.
Creating New Private Client
To create a new private client,
On the Navigation menu, point to Clients, and click Private clients.
On the Private clients page, click Create. The New Client page appears:
On the Info tab, fill in the following data:
First name: enter the first name of the client as it is stated in the government issued ID.
Last name: enter the last name of the client as it is stated in the government issued ID.
E-mail: enter the e-mail address to which the notifications concerning reservations will be sent.
Language: select the language in which the system will operate for a certain client.
Membership level: select the level of admittance. If you choose Guest option the user will not be able to log in the system but you will be able to import all the user data to reservations automatically. In case you choose Registered, the user will be able to log in the system and search for tourism products from B2C web-site.
Expiration date: specify the date until which the user profile will be active.
Click Save.
After you click Save, the member ID is ascribed to the client, which will be user forinternal identification of the client in the system.
To generate a new password for a user to be able to log in the system, please consult the Web Sales Settings section.
Adding Passport Data
You can save passport information to the profile of a of a private client and further use it when creating reservations.
To save the passport data,
On the Navigation bar, point to Clients, and click Private clients.
Select the client for whom you want to add passport data, and click their name in the Name&Surname column. The Client page appears.
Go to the Passport tab, and click Create. The Passport window appears:
Fill in the required information.
Click Save.
As a result passport data of a client are automatically imported in reservations. When booking a service - for example, a flight - for a corporate client user, on the Passengers page you have to enter the name of the user only - the other data needed for reservation will be imported automatically.
Adding Extra Information
To add extra information to a profile of a private client,
On the Navigation bar, point to Clients and click Private clients.
Select a client of your choice from the list.
Go to the Details tab.
On the Details tab, click Edit and specify the following information:
Address and contact info: specify the city, country, address, postal code, and phone numbers of the private client.
Personal data: specify the full name, the date and place of birth, and the citizenship of the private client.
Employment info: specify the company the private client works at as well as their position.
Comments: leave any additional information in the Comments text field.
Click Save.
Browsing Private Clients
To search for private clients,
On the Navigation menu, point to Clients, and click Private clients.
Use the search form at the top of the page:
In the search form, specify the search criteria of your choice:
Country: select the country specified in the private client's profile upon creating.
City: select the city specified in the private client's profile upon creating.
Name: enter the name of the user you search for.
Membership level: select whether the user you search for is registered in the system, or has guest access.
Expiration date: specify the date when the registration is to expire.
Date of registration: specify the date when the user was registered in the system.
Number of reservations: specify the range of the reservations conducted for the user you search for.
Current balance: specify the financial balance of the user.
E-mail: specify the e-mail address.
Click Search. The list of private client users will be updated to those fitting your search requirements.
Granted with the director or supervisor roles,, you can view the list of all private clients, who make reservations via your internal agency or your client agencies.
To view the list of private clients,
On the Navigation bar, point to Clients, and click Private clients.
The Clients page appears where the list of private clients is displayed. In the list you will find the main information on private clients, including:
Name&Surname
Country&city
Phone number
E-mail
Registration date
First and last reservation dates
Membership level
Expiration date
Number of reservations
Current balance
Status.
To view the detailed information about a client, click the client of your choice. The client information is displayed on several tabs:
Info: displays general information about a client.
Passport: displays passport data of a client.
Details: contains an address, contact details and personal information about a client.
Reservations: stores the information about a private client's reservations.
Managing Private Clients' Reservations
You can view the history of private clients' reservations made via B2C website.
Viewing private clients' reservations
To view the list of reservations of a particular private client,
On the Navigation bar, point to Clients and click Private clients. The Clients page appears.
On the Clients page, click the private client of your choice.
In the profile of the selected private client, click Reservations to proceed to the Reservations tab.
On the Reservations tab, the list of reservations made by the private client is displayed:
Creating new reservations for private clients
To create a new reservation for a client (with the information already stored in the CRM system),
On the Navigation bar, point to Clients and click Private clients. The Clients page appears.
On the Clients page, click the private client of your choice.
In the profile of the private client, click Reservations to proceed to the Reservations tab.
On the Reservations tab, click Create.
You will be redirected to the search form. Continue the booking procedure as is described in >> Search & book.
When you create a reservation this way, you do not need to enter Tour leader's name and surname on step 3.2 - Tourists, as they are automatically exported from the private client's profile.
